AlphaCRM at Per Borup

Jewelry brand Per Borup went from an Excel sheet and a text message after every meeting to AlphaCRM from alpha.ai, connected directly to e-conomic. When a sale closes, the invoice draft is ready in e-conomic. Since go-live, 7 new features have been added at the customer's request, usually delivered the day after they asked.

The big difference for us is the flexibility and the price. When I'm missing a feature, I just send an email with the request, and it's usually implemented the very next day.

The challenge

Per Borup had never had a CRM. Customer information lived in an Excel sheet that was the salesperson's tool, and the rest lived in people's heads. After every sales meeting, the salesperson sent a text about how it went, and upcoming meetings weren't written down anywhere in the office. CRM systems had always been too expensive with their monthly subscriptions, so the spreadsheet had to be good enough. And every time a deal was closed, the numbers had to be typed into e-conomic again by hand.

The solution

Per Borup got AlphaCRM, alpha.ai's CRM for Danish businesses, set up on their own domain. Customers, contacts, meetings, sales pipeline, roles and search in one Danish system, with e-conomic connected directly: invoice history sits on the customer card, and a draft invoice is created automatically when a sale closes. Existing customers, contacts, meetings and notes were moved in via CSV. And instead of renting a system with a monthly licence, Per Borup owns both the system and the data.

We're drowning in all kinds of subscriptions. And there's a real sense of security in the information being ours. Whatever happens, the system is ours.

How it works

Per Borup didn't have to wait months for a system. AlphaCRM came with a dashboard, customers, contacts, meetings, sales pipeline, roles and search from day one, so they could go straight from the spreadsheet to a real CRM.

e-conomic is connected directly. The customer card shows invoice history from e-conomic, and when a sale closes in the pipeline, a draft invoice is created automatically. The numbers no longer have to be typed in two places.

What makes the case interesting is what has happened since go-live. At Per Borup's request, alpha.ai has added a meeting log with an overview of all meetings, customer notes instead of sales activity on the dashboard, highlighting the note you clicked in from, search and pagination on every list, sortable columns, user editing and a more robust CSV import. None of them was a new project. They were hours on a system built to be extended.

The system runs on Cloudflare and Supabase in the EU, with its own instance, its own database and its own domain. Per Borup owns both the system and the data, and there is no per-user licence.

Features

What the system does

e-conomic connected

Customer lookups in e-conomic and full invoice history directly on the customer card. No switching systems to see what a customer has bought.

Sales pipeline with automatic invoicing

Sales are tracked from first contact to closed deal. When a sale closes, the draft invoice is created automatically in e-conomic.

Meetings and meeting log

Every meeting is logged on the customer, and the meeting log gives the office an overview of who met whom, and how it ended.

Customers, contacts and notes

Customers and contacts with notes and history. Search and sortable columns on every list, so the right record is quick to find.

In from Excel

Existing customers, contacts, meetings and notes were moved in via CSV, with an import that handles Danish characters correctly.

New features on request

If something is missing, Per Borup sends an email with the request. Most recently sorting by newest customers, so new contacts from a trade fair are ready to call.

We're still beginners with CRM systems, so we'll definitely discover along the way what it can do for us. I'm looking forward to that!

The change

Before vs. after

Before AlphaCRM

  • Customer information in an Excel sheet only the salesperson used
  • Knowledge about customers lived in people's heads
  • A text from the salesperson after every meeting
  • Upcoming meetings weren't written down in the office
  • Closed sales were typed into e-conomic by hand

With AlphaCRM

  • Customers, contacts, meetings and sales in one Danish system
  • The office sees meetings and outcomes without waiting for a text
  • Draft invoice in e-conomic as soon as a sale closes
  • New requests built, usually the next day
  • No per-user licence, Per Borup owns system and data
The process

From idea to launch

1
Step 1

Setup

AlphaCRM was set up on Per Borup's own domain, with e-conomic connected and roles for the staff.

2
Step 2

Moving the data

Customers, contacts, meetings and notes from the old spreadsheet were imported, so the system was full from day one.

3
Step 3

Up and running

Sales and office started working in the same system, with meetings, notes and sales on the customer instead of in texts and heads.

4
Step 4

Ongoing growth

As Per Borup has discovered what they need, new features have been added, typically the day after they asked.

Results

The office can now see when sales meetings take place and how they ended, instead of waiting for a text. When a sale closes, the draft invoice is ready in e-conomic without anyone typing the numbers twice. And the system wasn't handed over and forgotten. When Per Borup needs a feature, they send an email, and it's usually built the next day. Most recently they got sorting by newest customers, so after a trade fair they can quickly see who to call.
